Process mapping + AI implementation

Grow your company with a leaner team and take yourself out of the day-to-day.

Argos OS maps every process in your business and puts AI to work at the points that matter. Fewer hands on repetitive tasks, more growth, and an owner who finally runs the company instead of being run by it.

  • Leaner operations team
  • Owner out of the day-to-day
  • Growth without hiring at the same pace
Everything flows through the owner, then through AI A diagram with the owner in the center. Today, every task around the owner needs the owner. In an AI-First company, AI agents handle the tasks and the owner only makes decisions. Customer service Quotes Scheduling Billing Finance Team questions Reports Orders AI You

Sound familiar?

The company grew. The owner’s workload grew faster.

In most small and mid-sized businesses, the owner is the busiest employee. That is not a discipline problem. It is a structure problem.

  • Everything stops without you

Approvals, answers, exceptions and “just one quick question” all land on your phone, including weekends.

  • More sales means more hiring

Every new customer adds payroll. Revenue climbs, and the margin stays flat.

  • The know-how lives in people’s heads

When someone leaves, a piece of the company leaves with them, and you pay to retrain.

  • Hours go to work a machine could do

Copying data, chasing answers, building the same report every week. Good people spend their day on it.

Two ways to grow. Only one of them gives you your life back.

Traditional company

AI-First company

Growth means hiring more people.

Growth runs on the same lean team, backed by AI agents.

The owner approves and answers everything.

The owner sees a weekly scorecard and decides what matters.

Processes live in people’s heads.

Processes are mapped, written down and running.

Customers wait until someone is free.

Customers get an answer in a minute, at any hour.

Training a new hire takes months.

A private AI answers the team’s questions from day one.

The Argos OS package

Map the whole company. Put AI where it pays off. Then step out.

Argos OS is named after Argos, the giant of Greek myth with a hundred eyes who never closed them all at once. The package has five steps, in this order.

  1. Step 1: Map

See every process, who runs it and how long it takes.

We follow the work across sales, service, finance, admin and delivery: who does what, in which tool, how many hours it takes, and where work gets stuck or repeated.

You get: A map of the company’s processes, with owner, hours and cost for each one.

  2. Step 2: Measure

Turn hours into numbers you can trust.

We record a baseline before changing anything: hours per task, cost per process, response times and rework. Every later result is measured against it.

You get: A baseline scorecard and a ranked list of the processes that consume the most time and money.

  3. Step 3: Prioritize

Choose the few points where AI changes the most.

Each process gets a score for impact and for effort. You see where AI pays back fastest, where a simple automation is enough, and where a person should stay in charge.

You get: An impact and effort matrix and an implementation roadmap with a savings estimate per point.

  4. Step 4: Implement AI

Put AI agents and automations to work in the strategic points.

Agents answer customers, qualify leads, schedule, chase payments, prepare reports and answer the team’s questions. They run inside the tools you already use, one at a time, each tested before the next.

You get: AI agents and automations running in your business, trained on your prices, rules and processes.

  5. Step 5: Release the owner

Run a lean team and stay out of the operation.

Processes are documented, the team is trained to work with the agents, and the weekly scorecard replaces the questions that used to reach you. Open roles stop being a hiring plan and become a decision.

You get: A playbook for each role, a weekly scorecard in your inbox and a company that does not stop when you do.

Then we keep improving it with you.

A weekly scorecard, a monthly review and one change at a time, each measured against the baseline from step two.

Why map before using AI.

AI on top of a messy process repeats the mess faster. The map shows where AI creates real savings, so you spend on the points that return the most.

The decision map

You will know exactly where to start.

After mapping, every process lands on one chart. The top left says “implement first”: high impact, low effort. You get a clear order, a cost and an expected return for each point, before you commit to anything.

What the mapping delivers

  • Process map of the whole company
  • Hours and cost per process
  • Impact and effort matrix
  • Roadmap with savings estimate
  • Which roles AI can support and which stay human

Where AI goes to work in your company.

Each agent has one job, works inside the tools you already use, and reports what it did. A person approves anything that touches money.

Customer service and sales that never sleep.

By text, chat or phone. It asks the right questions, sends the quote, books the visit, and hands the conversation to your team when a person should step in.

Example conversation, 11:42 p.m.

Hi, my AC stopped working. Can someone come tomorrow?

Sorry to hear that, Marcus. A technician can be there tomorrow between 8 and 10 a.m. The visit is $89 and counts toward the repair. Should I book it?

Back office on autopilot.

Follow-ups, confirmations, billing reminders and data entry run on their own.

A private AI that knows your business.

Prices, policies, processes and past jobs in one place. Your team asks it before they call you.

Content in your voice.

Posts, emails and review replies drafted from your real work. You approve before anything goes out.

The company in one page, every Monday.

You stop asking “how are we doing?” in five different chats. The answer is in your inbox, in plain language.

  • What came in
  • What closed
  • What is stuck
  • The one decision for this week

What changes for you

The result is a company that pays you back in money and in time.

  • Your calendar back

Hours that went to approvals, answers and fire drills return to strategy, customers or rest.

  • Growth without a bigger payroll

The same lean team handles more customers, because AI absorbs the repetitive volume.

  • A vacation without the phone in hand

Processes run on written rules and agents, so a week off does not become a week of fires.

  • A company worth more

A business that does not depend on its owner is easier to grow, to hand over and to sell.

How much could a leaner operation save you?

Change the numbers to match your company. The math is shown, so you can check it.

Possible savings in operating cost

$76,800 a year

8 hours a week back for you.

1.6 full-time positions’ worth of work AI could absorb.

8 people × $4,000 a month × 12 × 50% repetitive × 40% AI share = $76,800 a year.

20 hours per week × 40% AI share = 8 hours back for you.

I want my time back

This is an estimate. The Map and Measure steps replace these guesses with your real numbers.

Mapping shows what you cannot see from the inside.

Nobody notices a process that quietly fails. This is what one real diagnostic found in a company that thought it was running fine.

400 inquiries from April 17 to September 30, 2026. Each dot is one person.
  • 77 Booked

    bought after the first quote

  • 78 Got a follow-up

quoted, then entered the follow-up sequence

  • ~180 No follow-up

quoted, then never entered the follow-up sequence

  • 62 Other

not quoted yet, duplicates or still open

Diagnostic run by AISolutti in September 2026 for a US home-services company with about $600,000 in yearly revenue. Client name withheld.

7 in 10
people who got a quote and did not book right away never entered the follow-up sequence. A timing glitch between two systems skipped them.
Half
of the ad budget went to a Google product that no monthly report showed.
$93 / $1,540
cost per new customer in the cheapest ad channel and in the most expensive one, running at the same time.
13
defects in the online booking flow, found by buying as a regular customer. One of them cut the payment button off the screen.

Findings like these only show up when someone maps the process from end to end. Each one has a fix that does not need a bigger ad budget.

How we work together.

  1. Diagnostic call

A video call about how your company runs today. You leave with the first bottlenecks we can spot, whether or not we work together.

  2. Proposal

A fixed scope and a fixed price, based on what the call showed.

  3. Mapping and implementation

Argos OS goes in step by step, starting with the points that return the most.

  4. Run

A weekly scorecard, a monthly review, and every change measured against your baseline.

A good fit if

  • You have an operations team and the business still stops when you step away.
  • You want to grow without hiring at the same pace as revenue.
  • You want to be the owner again, not the manager of everything.

Probably not a fit if

  • You are still looking for your first customers.
  • You want a chatbot and would rather not look at what happens behind it.

Paid partly on results.

On larger projects, part of our fee can be tied to the savings and growth we create, measured against your baseline.

You work with the person who builds it.

AISolutti is led by Raphael Santos, an AI systems engineer with a postgraduate specialization in Intelligent Systems and Agents from the Federal University of Goiás, Brazil. He designs and builds AI applications and agents for a living.

He runs every AISolutti project himself, from the first map to the last automation. That keeps the work focused, and it is why we take on a few clients at a time.

Questions owners ask.

Will AI replace my team?

AI takes over repetitive volume: answering the same questions, copying data, chasing confirmations. The mapping shows which tasks that covers, so you decide what to do with each role: reassign people to higher-value work, or not refill a role when someone leaves. People stay in charge of relationships, judgment and anything that touches money.

What is Argos OS?

Argos OS is the AISolutti package for turning a business into an AI-First company. It runs in five steps: map the processes, measure the baseline, prioritize where AI pays off, implement the agents and automations, then release the owner from the day-to-day.

What does it mean to be AI-First?

In an AI-First company, every process starts with one question: can AI do this first? People supervise, decide and handle relationships. The team stays lean and the company grows without payroll growing at the same pace.

Do I have to replace the tools I already use?

Usually not. We start with the CRM, scheduling system and accounts you already pay for. When a tool costs more than it returns, we say so, and we run the old and new setups side by side before switching anything off.

How soon will I see results?

The Map and Measure steps come first, and they tend to surface bottlenecks you can fix right away. Automations and AI agents go live one at a time, and each change is measured against the baseline we record before touching anything. We will not promise a number before we have seen yours.

What if the AI makes a mistake?

Each agent starts with narrow limits and reports what it did. A person on your team approves anything that touches money or a customer complaint, and you can pause any agent at any time.

Who owns the accounts and the data?

You do. Accounts, automations, AI agents and data stay in your company name. We work through our own login, and you can remove our access at any time.

Do you work with businesses outside the United States?

Yes. Everything runs remotely, and we work in English and Portuguese.

How much does it cost?

It depends on how many processes need work. After the diagnostic call you get a written proposal with a fixed scope and a fixed price.

Your company can run without you in the middle.

In one call we look at how your company runs today. You leave knowing where AI pays off first and how many hours it could give back to you.
